Supplier shipping terms: questions to ask before you buy

Understand what to confirm about Incoterms® 2020, freight costs, handover points and delivery scope when sourcing goods from China.

Start with the term, location and version

A supplier’s product price may include a different transport scope from another supplier’s offer. Before comparing prices, request the agreed trade term, the precise named port or place, and the applicable version of the rules.

ICC’s Incoterms® 2020 rules allocate obligations, costs and risks between buyer and seller. The letters alone do not describe your complete purchase agreement. They do not settle ownership transfer or the time and method of payment; those need separate agreement in the sale contract. See the ICC introduction to the rules.

Forward your supplier’s actual wording when requesting freight advice. “Shipping included” without a named endpoint leaves too much room for misunderstanding.

Five questions to resolve with your supplier

  • Where is the handover? Identify the factory, terminal, port or destination address precisely.
  • Who arranges each transport leg? Clarify collection, main carriage and final delivery.
  • Who handles export and import formalities? Confirm the responsible parties and the information they need.
  • When does risk transfer? Do not assume the party paying freight carries the risk for the whole journey.
  • What insurance is arranged? Ask about the insured party, covered journey, exclusions and claims process.

Turn “door-to-door” into a written service scope

For your freight quotation, ask for a breakdown of origin handling, international carriage, destination handling, clearance coordination and delivery. Confirm which items are included, excluded or conditional. A service description should also identify the delivery address and unloading arrangements.

Ask separately about duties and taxes, inspections, storage and waiting time. Whether a cost applies depends on the shipment and the agreed arrangements; a door-to-door label is not enough to establish who pays every possible charge.

A practical comparison example

Suppose one supplier offers collection from its factory and another includes transport to a named port. The product prices cannot be compared fairly until the remaining work is identified. Ask for two freight quotations to the same Australian delivery address using the same cargo measurements and service requirements.

Keep a simple comparison sheet with product cost, included transport, remaining transport, clearance-related costs and delivery. Mark unknown items as “to confirm” rather than zero. Check quotation currencies and validity dates before making a decision.
